This year, the EPTA Annual Conference will be organized on 21-23 September 2021 in Warsaw by the Polish Academy of Justice on the theme “Prison Service in Time of COVID: Impact on training and teaching”.

2020 has been marked by the outbreak of the global COVID-19 pandemic. We have all felt the changes in our everyday life that have been forced on us because we have limited the spread of the virus. The Prison Service, like other state services, was involved in protection and rescue activities. Officers often had to show flexibility and assume duties that went beyond the proper and assigned scope of activities.

Today, when a vaccine is available and new treatments are being developed, the time for summaries is slowly coming. The EPTA Annual Conference 2021 is an opportunity to present and summarize the participation of the Prison Service in the fight against COVID-19. During the annual meeting of the EPTA network, we will have the opportunity to exchange information and debate on the place of the Prison Service in the state security system in crisis situations.

Travel

The airports you can choose for your travel are:

Warsaw Chopin airport;

Warsaw Modlin airport;

The Academy of Justice will provide internal transport for all participants to the Conference. Please inform the organizers of the date and time of the arrival and departure (which airport) to organize the transfer to and from the airport.

Reimbursement of travel costs

According to eligibility criteria from the current EU funded EPTA project participants traveling from the following countries can be reimbursed for their travel costs after the conference: The Member States (MS) of the European Union (EU), including their Overseas Countries and Territories, without UK and Denmark, including Albania.

The travel expenses for all EU – EPTA members will be reimbursed with the help of the EPTA project, only after having attended the Conference with these conditions:

• The project reimburses 400 euro per person, for travel expenses. This budget is intended for traveling to the airport from the hometown and back, the flight to Warsaw and back, and for the transport from the airport to the conference location and back.
• Each EPTA member can delegate one or two persons to participate in the Conference. A second person may attend the Conference provided that their expenses do not exceed the 400 euro budget. In case the flight ticket is more expensive, that second person will have to cover the sum that exceeds 400 euros.
• Important: Only economy-class flights will be reimbursed. Once you have purchased your flight ticket, please let us know about the price of the flight ticket, as well as the ticket price for the transport from your hometown to the airport. Any additional costs related to Covid will not be covered by the project.
• Procedure: Each participant covers their own flight cost, keeps the original boarding pass and receipts, and requests a reimbursement after the conference. All relevant proofs (boarding pass, flight ticket receipt, tickets for the transport from home to the airport, etc.) will have to be handed over to the representatives of the Netherlands Helsinki Committee during the conference.

Accommodation and meals

• The Daily Subsistence Allowance (DSA) provided by the project budget covers accommodation and food for EPTA members.
• The Academy of Justice will organize accommodation, transport to/from the airport, and will take care of the catering, and will get the expenses reimbursed within the project.
• All participants will be accommodated at Hotel Belwederska, a 3-star hotel in Warsaw.
